WORKPLACE POLICY

(Hybrid Work Structure)

Applies To: All employees, consultants, contractors, and interns of MarketBridge Africa (“the Company”).

1. Purpose of This Policy

This Workplace Policy establishes clear standards, expectations, and guidelines for professional conduct, productivity, collaboration, and accountability at MarketBridge Africa under a hybrid work structure.

MarketBridge Africa operates as a sales outsourcing and market-entry partner, serving foreign and local organisations. As such, professionalism, confidentiality, responsiveness, and performance are non-negotiable.

2. Work Structure: Hybrid Model

MarketBridge Africa operates a hybrid workplace, combining:

Remote work, and Physical office work, as required by role, project, or management directive.

2.1 Work Location Expectations

Employees may work remotely unless otherwise required for:

Client meetings

Strategy sessions

Sales presentations

Training

Performance reviews

Management reserves the right to require physical presence at any time with reasonable notice.

3. Working Hours & Availability

3.1 Core Working Hours

Monday – Friday

9:00 AM – 5:00 PM (WAT)Employees must be reachable and responsive during core hours, regardless of location.

3.2 Availability Rules

Company communication channels must be monitored during work hours.

Missed calls, emails, or messages must be responded to within 1 business hour, unless in a meeting.

International clients may require flexibility due to time zones.

4. Performance & Productivity Standards

MarketBridge Africa is a results-driven organisation.

4.1 Performance Measurement

Performance is assessed based on:

Sales targets

Lead generation

Client engagement

Revenue contribution

Quality of deliverables

Responsiveness and professionalism

Presence alone does not equal performance. Output matters.

4.2 Accountability

Weekly activity reports may be required.

CRM updates are mandatory for sales-related roles.

Failure to meet performance standards may result in:

Performance improvement plans (PIP)

Suspension

Contract termination

5. Communication Policy

5.1 Approved Communication Channels

Official company email

WhatsApp / Slack / Teams (as assigned)

CRM systems

Video conferencing tools (Zoom, Google Meet, etc.)

5.2 Communication Conduct

Communication must be professional, respectful, and business-focused.

Abusive, offensive, or inappropriate language is strictly prohibited.

Client communications must follow approved messaging and branding.

6. Confidentiality & Data Protection

MarketBridge Africa handles sensitive commercial, client, and strategic data.

6.1 Confidential Information Includes:

Client lists and contacts

Pricing and commission structures

Sales strategies and proposals

Contracts and NDAs

Internal reports and IP

6.2 Obligations

Confidential information must not be shared without authorization.

Personal devices used for work must be secured with passwords.

Documents must not be stored on unsecured platforms.

Breach of confidentiality is grounds for immediate termination and legal action.

7. Remote Work Conduct

When working remotely, employees must:

Maintain a quiet, professional work environment

Use reliable internet and power supply

Dress professionally during video meetings

Avoid distractions during work hours

MarketBridge Africa reserves the right to:

Audit work output

Require status updates

Revoke remote privileges if abused

8. Office Conduct (When On-Site)

8.1 Professional Behaviour

Respect colleagues, visitors, and clients.

Maintain cleanliness and order.

Smoking, alcohol, and illegal substances are prohibited on company premises.

8.2 Dress Code

Business or business-casual attire

Sales and client-facing staff must maintain a polished appearance.

9. Conflict of Interest

Employees must not:

Engage in competing businesses

Represent competitors

Divert clients or opportunities for personal gain

Accept undisclosed commissions, gifts, or kickbacks

All potential conflicts must be declared in writing to management.

10. Use of Company Resources

Company resources (email, CRM, data, documents) are for official business only.

Prohibited use includes:

Personal commercial activities

Unauthorized sharing

Illegal or unethical activities

11. Disciplinary Measures

Violations of this policy may result in:

Verbal warning

Written warning

Suspension

Termination of employment or contract

Legal action (where applicable)

12. Health, Safety & Wellbeing

MarketBridge Africa promotes:

Reasonable work-life balance

Mental health awareness

Safe working environments (remote or on-site)

Employees are encouraged to report health or safety concerns.

13. Policy Review & Amendments

This policy may be updated at management’s discretion to align with:

Business growth

Legal requirements

Operational needs

Employees will be notified of material changes.

14. Acknowledgment

All employees, consultants, and contractors must sign an acknowledgment confirming that they have read, understood, and agreed to comply with this Workplace Policy.
